In the world of accounting and finance, where accuracy, speed and precision are key, and the activities themselves are repeatable tasks in set cycles, Artificial Intelligence has become an indispensable partner in the transformation of the profession. AI not only improves essential processes by eliminating routine tasks, but also revolutionizes the way accountants communicate with clients. The basis of these experiences is the accounting of 400,000 accounting entries per month using AI tools and Business Intelligence-style reporting.
Strengthening the substantive of accounting
AI is evolving the substantive aspects of accounting through automated calculations, data analysis and reporting available on their basis. Activities performed by accountants are a set of tasks that are repeatable in established periods (Monthly /Quartely /Yearly). Thanks to properly entered and processed data, AI can identify patterns and schemes and detect errors and anomalies with precision unattainable by humans and at an incomparable pace. All this translates into faster settlements, elimination of human errors and increased efficiency in accounting processes. Using OCR systems can save 3 hours of work on every 100 documents. Reporting of results takes place in real time, accountants can close the day, not the month or the adopted tax period and the Management Boards can make quick decisions thanks to constantly fresh data.
Contribution to the security of the organization
Using AI tools supports safety and operational reliability. In addition to the security areas already indicated, the implementation of AI tools significantly affects the stability of running an accounting company. The use of AI allows one to verify the contractor's tax status, bank accounts or databases in registry courts as soon as an accounting document is entered into the system. Standardization of service is also a kind of remedy for trends occurring in the labor market (ex. rotation, globalization). Creating customer service procedures and using developed AI tools allows for quick onboarding and introducing new people to operations, ensures their substitutability, transferring the heaviness of guiding humans through everyday duties to the AI system. It also reduces the level of uncertainty and stress among employees in the first months of work and allows managers to more easily monitor progress and quality of work (using reports on team task performance) and creates space to work on soft skills.
Supporting communication
AI tools also support efficient communication, which is based on soft skills and supported by technology. Implementing appropriate solutions enables employees to communicate empathetically, warmly, but also effectively both inside the organization and outside - with customers. Just providing information makes it easier and adapts the language and communication to modern forms, where over 63% of communication takes place using mobile applications, not desktop applications. To support effective communication, AI tools are used to examine the compliance of the message with the standards adopted in the organization, which, after verifying the content, suggest changes to the tone or form of the message. The software developers pursue the same goal, taking care of visual form - intuitive use and attractiveness of the tools, as well as ease of communication with support.
Conclusions
As a result, the implementation of artificial intelligence in accounting not only improves operational processes, but also changes the dynamics of the relationship between accountants and their clients, contributing to more effective action and better quality of services. AI in the work of accountants is intended to support and complement human activities, which leads to synergy between humans and technology making a person an expert who can respond to the challenges of the future, such as reporting not only financial, but also ESR-related areas.
THE RESEARCH PROJECT
It is from these considerations that the professional firm Ferrari & Associates conceived the scientific research project entitled: "Business consulting and Artificial Intelligence."
For its realization, Ferrari & Associati co-funded a PhD with the University of Roma Tre and together with Polish member firm Szwak&Spolka partnered with the IT company SpiceSolutions.
Through this collaboration, it is possible to integrate the accounting and taxation expertise of Studio Ferrari & Associati with the IT expertise of SpiceSolutions.
The purpose of the research project is to develop software that is a tool in the hands of professionals to provide support to SMEs for management control and to improve their information flow.
